Coaching Tools

This guide introduces you to the latest tools we have developed to help coaches reinforce Read Right from the Start strategies.  Here are some things you can do with the new tools we have created for you:

Getting Started with your Dashboard

To get started, you will need to log in to the RRFTS web site. Make sure you are signed in and you see your profile photo at the top of the page.

Once you have been designated as a coach, you can click on your Profile image and you will see a button labeled Admin. Click that and you will be taken to the Admin section. If you do not see a link named Admin (see the following image), please contact us through email or through RRFTS chat from within the app and let us know.

Working with Users and Groups

As a coach, you will have access to all of the users in your Group (see Groups above). If you have users in your group that do not appear in your list of users, please contact us and we’ll update your group as appropriate.

 

Managing Users

From the Admin menu, click on the Users link. This will bring up a list of all users in your group that you have permission to view.

The Users area allows you to view details of any user that is part of your Group. You can search for a user by typing in the First Name, Last Name, or Email Address of the user you are looking for.  You should see results appear.

Viewing User Details

Click on a user to view their details. You will see information related to that user including their name, email address, school information, role and more. A user can update this information on their own using the Profile Edit feature.

 

Unlocking Course Pre-Requisites for a User

As users complete Lessons and full Courses, they unlock the ability to take additional Courses. In some cases, it may be necessary for you, as a Coach, to unlock one of these Course pre-requisites for them.  While viewing a user’s information, scroll down to the Course Prerequisite Chain section. Find the course you want to unlock and click the Unlock button to the right to make the course available to the user.  The user will now be able to access the course without completing the prerequisite courses.

Viewing Course Progress

As a Coach, you can view the course progress for any user in your group by scrolling down to the Course Progress section. In this section you will see all the courses for each track. To the left of each course is a plus button that when clicked will expand to show the lessons in that course. Once expanded, you can see what lessons the user has started and completed for each course.

Changing a User’s Password

As a Coach, it may be necessary for you to change or reset a user’s password. At the very bottom of a user’s detailed information, you will see a section that says “Change Password”.

Enter the new password in both boxes and click “Change Password”. Once you see the confirmation that your changes have been saved, you can leave that page.


Sending Coach Messages

On each user’s dashboard, there is a Message Center where users will see general Cox Campus messages. Once they have been added to a group they will see a new Coach Messages tab. You can send the users in your group a coaching message that will appear on only their dashboards, under the Coach Message tab.

From the Admin menu, click on the Coach Messages link. This will open up a page where you can compose your message.  

 

Choose the group you want to send your message to in the Recipient Group box. If you want to send the message to just one person in your group, search for that person in the Specific User box. Craft your message in the Message Content box. You can also include a link to a website by copying and pasting the web address or URL into the Link box. Press the Send button to send the message to your users.

 

Users in your group will then see the message in the Coach Message section of their dashboard (see above). They cannot reply to your coaching message or create their own.

If you scroll down past the send button, you will see Message History.  From here, you can Edit or Delete any previous Coach Message that was sent.


Community Discussion Forum

About the discussion forum

When you are ready for a break from completing and reviewing Lessons in the Learning Center, head on over to the Community Discussion to see what your fellow teachers and administrators are discussing. The Community Discussion is an area where all users of RRFTS can share their thoughts and ask questions for others to answer. Much like a traditional discussion forum, the Community Discussion is broken up by Topics and Tags.

 

How do I access the Community Discussion center?

The community discussion center can be accessed here:

How do I post a question for others to see in the Community Discussion?

When you first visit the Community Discussion you’ll see an Ask a Question button at the very top. Click this button to begin the process.  Type your question in the Ask a Question box.  In the Details box, you can add any additional information to support your question.  You can also add a link to a website or YouTube video here.  Under the Details box, there is a section to Upload a Photo to your question.  Clicking in the Topics box will bring up a list of topics for you to post your question under.  You can choose more than one.  And lastly, choose an age group(s) for your question.  Click the Post Your Question button to post it to the community.

 

How do I post a question that only users in my group will see?

As a coach, you can create Private Posts to your group.  If you would like to do this, please let a Rollins staff know and they will create your Private Topic for you.

 

Once your Private Topic has been created, Below the Public Topics on the right hand side, you will see the Private Topics you have access to and should see one labeled “Private – [Your Group Name]

 

To post a message to your Private Topic, follow the steps above to post a question for others to see in the Community Discussion . When you get to the Topics box, scroll to the bottom of the list of topics.  You will see your Private Topic listed.  Be sure to choose it.  You can also select additional topics that apply to your question.


Reporting

As a coach, you can run two types of reports on users in your groups. To run reports you will have to go to the admin panel.

  1. Click on your profile photo in the upper right corner
  2. In the slide-out panel, click on “Admin”

This will take you to the Admin side of the site. From here, select “Reporting” from either the center or the left-hand side.

 

Course Overview Report

Using the course overview report, you can keep track of your teachers’ progress through courses. The Course Overview Report gives the following insights:

  • The number of teachers in your groups that have started each course
  • The number of teachers in your groups that have completed each course
  • Average completion percentage per course
  • Average time your teachers spent on each course
  • Average score your teachers had on each course

To run the Course Overview report:

  1. Select the Track from the drop down menu
  2. Select the group you want to view reports for (if you have more than one group)
  3. Select the time range for which you want to see data for users completing courses (optional)
  4. You can select a school or childcare center, zip code, county, or state to narrow the results by. This will only show data for users who have associated themselves with a school that matches the criteria given.
  5. Click on “Get Report”. Reports may take up to a minute to run.
  6. You will see results generated below the “Get Report” button
  7. Below the report you’ll see a button that you can click to save a CSV file of the report you just ran. This is useful if you want to save your data for later, sort by specific columns or to make charts and graphs from. CSV files can easily be imported into programs like Google Sheets and Excel.

User Course Report

Using the user course report, you can see a breakdown of the progress of each individual teacher in each course. The User Course Report gives the following insights:

  • The name and email address of a teacher
  • The school the teacher belongs to
  • The course they started, and it’s completion status
  • The percentage complete of the course
  • The score the teacher earned taking the course
  • The date the teacher started and completed the course
  • The amount of time, from start to finish that it took the teacher to complete the course

To run the User Course report:

  1. Select the Track from the drop down menu
  2. Select the group you want to view reports for (if you have more than one group)
  3. Select the time range for which you want to see data for users completing courses
  4. You can select a school or childcare center, zip code, county, or state to narrow the results by
  5. Click on “Get Report”
  6. You will see results generated below the “Get Report” button
  7. Below the report you’ll see a button that you can click to save a CSV file of the report you just ran

Note: You can also run this report on individual teachers and see just a report for one teacher’s completion status in each course.
